Should you outsource customer service for your Shopify store?

Outsource customer service for your Shopify store when tickets take more than an hour or two of the founder's day, replies slip past 24 hours, or you need weekend and evening cover. Start with repetitive tickets such as order status, returns and exchanges, keep escalations in-house at first, and run everything inside your existing helpdesk.

Signs it is time to outsource

  • You or a co-founder answer tickets every day instead of working on growth.
  • First reply time is over 24 hours, or weekends pile up.
  • Most tickets are the same few questions: where is my order, returns, exchanges, discount codes.
  • You sell on Amazon too and buyer messages need replies within 24 hours.
  • Reviews mention slow or unhelpful support.

When not to outsource yet

If you get fewer than about five tickets a day, a good set of macros and a clear FAQ page may be enough. If your product needs deep technical knowledge that is not written down anywhere, document it first, or the agent will escalate everything.

What does outsourced customer service cost?

ModelTypical costFits
Pay per ticketRoughly $1 to $5 per ticketLow or very uneven volume
Shared agent poolMonthly fee by volumeSimple, predictable tickets
Dedicated part-time agentFrom $900 a month with usBrands with 10 to 40 tickets a day
Dedicated full-time agentFrom $1,600 a month with usHigher volume or multi-channel brands

Compare that with an in-house hire in the US or UK, where salary, taxes and tools usually cost several times more. See pricing.

What to hand over first

  1. Order status (WISMO) and shipping questions.
  2. Returns, exchanges and refunds inside a clear policy.
  3. Product questions answered by your FAQ and product pages.
  4. Amazon buyer messages, if you sell there.
  5. Later: chargebacks, reviews and social comments, subscription changes.

Keep escalations, angry VIP customers and anything involving money outside the policy with your team for the first month. Widen the agent's limits once the quality is proven.

How to keep quality high

  • Keep support inside your own helpdesk (Gorgias, Zendesk, Freshdesk, Help Scout and others) so you own the history and can read every reply.
  • Write a short playbook: tone of voice, refund limits, escalation rules.
  • Track first reply time, resolution time and CSAT every week.
  • Review a sample of tickets weekly for the first month.

Can AI replace outsourced agents?

AI handles a growing share of simple questions well, especially order status. It still struggles with exceptions, upset customers and judgement calls about refunds. Most brands now use AI for the first answer and a human for everything else. We set up both, and a human checks the AI's replies.

Questions

Frequently asked questions

Will customers know support is outsourced?

Not if it is done well. Agents work in your helpdesk, sign with your brand and follow your tone of voice.

Do outsourced agents need access to my Shopify admin?

Usually limited staff access to view orders and process refunds or exchanges within your policy. Give the minimum permissions needed.

How long does it take to start?

About one to two weeks: access, playbook, training on your products, then a supervised first week.
